Bookings Coordinator — Part-Time
Monday – Friday · 9:00 AM – 1:00 PM · 223 Mills Street, Parksville, BC
The Parksville Community Centre Society is the community’s gathering place — a welcoming facility at 223 Mills Street hosting meetings, conferences, celebrations, and events for Parksville and the Oceanside region. We are looking for an organized, people-first Bookings Coordinator to be the welcoming voice and face of the Centre for those wanting to book our spaces.
What You’ll Do
- Handle booking inquiries by phone (250-248-6234) and in person; confirm room availability and complete all booking paperwork.
- Prepare Estimates and Rental Agreements; collect deposits and process invoices.
- Brief every client on after-hours self-serve procedures — room access, lighting, heating, and lock-up — so the Centre runs smoothly around the clock.
- Maintain the PCCS Website Events Calendar and post events to Facebook, X, Instagram, and community bulletin boards.
- Coordinate equipment and catering needs; collect required certifications from contractors.
- Send post-event thank-you letters and Client Satisfaction Surveys.
- Reconcile daily cash receipts and perform regular data backups.
- Conduct a daily 1:00 PM closing walkthrough and secure the facility.
What You Bring
- At least 2 years in an administrative, reception, or customer service role.
- Excellent communication skills and a warm, professional manner.
- Proficiency with Microsoft Office 365, shared calendars, and website content updates.
- Comfort with daily cash handling and financial reconciliation.
- Experience with social media (Facebook, X, Instagram) and graphic design tools (e.g., Canva) is an asset.
- Prior non-profit or community organization experience is an asset.
